Registration and enrolment

Ready to join Herts? Before you officially become a Herts student, you will need to complete registration. You also need to do it if you’re a returning student.

What is registration?

Registration is a process where you:

check your course details are correct
confirm and update your personal details
upload a photo for your student ID card
complete Higher Education Statistics Agency (HESA) questions
confirm your identity by uploading or providing documents such as your passport, right to study share code, a copy of your stamped vignette (if you are on a student visa) and your Student Support Number (SSN) if you are expecting to receive a student loan.

By completing registration, you will officially enrol onto your programme, agree to follow the University’s rules and regulations, and be liable to pay your tuition fees.

Do I need to complete registration?

Every Herts student must complete registration at the beginning of each year of your course. This includes all new and returning students, and students moving from one Herts course to another.

For new students, you will be able to complete registration after you’ve set up your University account.

If you have applied for student finance through the Student Finance England, you will not receive any payments until you have completed registration.

What do you need before you start?

Before you start the registration process, make sure you have the following information and documents to hand.

Home students
- your University account details
- new students will need to submit a recent photo of them similar to a passport photo to be used on your student ID card. If you are having any issues, you can have your photo taken on campus in one of our in Hutton Hub, College Lane or at de Havilland Campus
- identification documents such as a scan or photo of your passport photo page or your birth certificate and driving licence
- your SSN (Student Support Number) which can be found on your Notification of Entitlement Letter or any correspondence from Student Finance England if applicable
- if you’re being sponsored by a private company, we will need a written confirmation on company headed paper and a signed agreement to sponsor form. Your Joining Instructions Portal will prompt you if you are not sure if this step applies to yourself and your course
- if your legal name is different to that of your passport, you will need to upload a copy of your marriage certificate or name change deeds, as you must be registered in your legal name.
EU/EEA/Switzerland students
- new students will need to have a recent passport-style photo which will be used on your student ID card. If you're having any issues, you can get your photo taken on campus in one of our in Hutton Hub, College Lane or at de Havilland Campus
- if you’re already living in the UK, you will need your passport, decision under EU Settlement Scheme and your personal right to study share code
- if you’re entering the UK for study, you will need your passport (European Union identity card is also accepted) and eVisa share code which will prove your right to study. If you are entering on a visitor visa and have not had your passport stamped on entry, please bring your physical boarding pass or ferry ticket as it will prove the date you entered the country
- if your legal name is different to that of your passport, you will also need to bring your marriage certificate and name change deeds.
International students
After you have completed online registration, you will need to book an on-campus face-to-face appointment for your arrival to have your documents checked and scanned as part of the UKVI guidelines.
We recommend doing this as early as you can to avoid queues. When you come to your appointment, you will need:
- your original hard copy passport with the vignette stamped and boarding pass (for student transit via Dublin)
- a share code, you must have already set up your eVisa to be able to generate this code, this will prove your immigration status and your right to study
- physical BRP cards are no longer issued by the UK government. You can view and prove your immigration status by setting up your eVisa. We encourage you to set up your eVisa if you are intended to travel abroad. If your BRP is still valid, please submit a photo of both the front and back of the card
- new students will also need to have a recent passport-style photo which will then be used on your student ID card. If you are having any issues, you can have your photograph taken on campus in one of our in Hutton Hub, College Lane or at de Havilland Campus.
If you’re a national of Australia, Canada, Japan, New Zealand, Singapore, South Korea, or the United States of America, you will also need to bring the following documents to your appointment:
- evidence of your arrival into the UK such as e-gate tickets, flight details or booking itinerary showing the date of arrival
- copy of a boarding pass for your flight arriving in the UK.
Disclosure Barring Service (DBS) and counter fraud checks
For some courses, your welcome letter may tell you that you need to complete a DBS and counter fraud check. Make sure to check the DBS identification documents checklist in your registration portal.
